Team Portal FAQ
Seats, roles, and billing — answered.
Everything an admin needs to run an ACLogics team. Looking for help with the field app itself? See the ACLogics help center.
Getting started
What this portal is for, and who signs in where.
What is the team portal for?
All team and billing management happens here at team.aclogics.com, not in the mobile app. Sign in as an Admin to create your organization, subscribe, invite technicians, change roles, and manage billing.
Technicians do not use the portal. If a technician signs in here, they see a page telling them their account is ready and to download the app — that is expected.
What team roles are available?
Two roles: Admin and Technician. Admins manage billing, invitations, roles, and member removal in this portal. Technicians run diagnoses, log jobs, and generate reports in the app.
One login holds one role. If a shop owner needs to manage the team and also do field work, use two separate accounts.
How do team invitations work?
Invite a technician by email from the dashboard. They accept the invitation from the link, sign in with that same email, and then download the ACLogics app.
If a technician cannot accept, check that they are signed in with the invited address and that the invitation has not been revoked or already used. Revoke and re-send if needed.
What is an organization account?
An organization account is your company workspace. Technicians you invite can switch between their personal account and your organization inside the app.
Work done in the organization context belongs to the organization; work done in a personal account stays personal.
How many organizations can one account create?
Up to 2. We recently raised the limit from 1 to 2 organizations per account, so you can run a second company or a separate workspace from the same login.
Accounts registered before August 11, 2026 may still be capped at 1 — the change was not applied retroactively. Email team@aclogics.com with your account email and we will raise your limit manually.
Need more than 2? Email team@aclogics.com and tell us how many workspaces you need and why.
Is there a trial for a new organization?
Yes. Every organization you create starts with a 3-day free trial with no credit card required, allowing you to invite technicians and test full team workflows.
When the trial ends, subscribe under Members & Billing to keep the organization active.
Can someone help me set up my company or invite our first technician?
Yes. If you need help creating your organization, configuring seats, or sending invitations to your first technician, email team@aclogics.com.
Tell us your company name and account email, and we will assist you with onboarding.
Seats
How seats are counted, charged, and freed.
How much does a team seat cost?
The base plan is $24.99 per month, which includes 1 free Admin seat and 1 Technician seat.
Each additional user (technician or extra admin) costs $24.99 per month.
Do pending invitations use a seat?
Yes. An invitation that has been sent but not yet accepted occupies a seat and shows a Pending badge on the dashboard. If you have an unused included seat (e.g. the included Technician seat), sending the invitation adds no extra charge.
When all included and paid seats are in use, add a seat before inviting; it is charged immediately and prorated for the rest of the billing period. Invited the wrong address? Revoke the invitation to free the seat.
How many seats can an organization have?
Up to 20 seats, counting current members plus pending invitations. At 20 the dashboard shows a warning, and above 20 it shows Maximum Seat Limit Exceeded.
To raise the ceiling for your organization, email chen@aclogics.com.
What does a “No Seat” badge mean?
It means the organization has more members than the subscription currently covers. Members are covered in join order, so the most recently added people are the ones left uncovered.
Add a seat from Members & Billing, or remove the member.
Can I pause a team member's seat?
No. There is no pause option. If a technician is on extended leave, either keep paying for the seat or remove them and re-invite them when they return.
Purchased seats cannot be reduced mid-period, so removing someone today does not refund the current month. At the start of each billing period the seat count adjusts down to your current member count — remove members before your renewal date to reduce next month's bill.
Billing
How team billing works, and how it differs from the app store subscription.
How is team billing processed?
Team subscriptions are a recurring per-seat subscription processed by Stripe and managed under Members & Billing in this portal. Personal Pro subscriptions are separate and go through in-app purchase instead.
Card details are entered in the secure billing portal and are never stored on ACLogics servers. Receipts are emailed automatically and PDF invoices are available in the portal.
What is unified company billing?
One payment for all your technicians instead of each person expensing their own subscription. Add or remove team members as the shop grows and the single subscription adjusts with it.
I paid, but the portal is stuck on “Activating your subscription”. What now?
Your payment went through. The subscription takes a few seconds to reach your session, and the portal retries automatically for about 30 seconds.
Do not run checkout a second time — that creates a duplicate subscription. Use Try again, or sign out and back in. If it still does not activate, email team@aclogics.com.
Can a team technician also buy a personal Pro plan?
Yes, but they are separate. Personal Pro access applies to the personal account and does not cover the organization workspace, and team access does not extend to personal work.
Before buying, confirm which account is active and whether the team seat already covers the work.
Usage and limits
What a seat actually gets your technicians each month.
How much usage does each technician get?
Team organization access provides 1,500,000 monthly tokens per technician (roughly 90 to 120 full diagnostic workflows), and Scan Pro AI nameplate scanning is completely free with zero token charges for all team technicians.
For comparison, the Free plan provides 50,000 permanent tokens on registration (never expire, good for 2–3 full diagnostic workflows), and personal Pro provides 500,000 monthly refreshed tokens with Scan Pro included.
What happens when a technician hits the monthly limit?
The app pauses new AI work (diagnosis generation, Step Chat, report generation) until the monthly quota resets on the 1st of each month, or until topped up with an instant $6.99 / 100k permanent token refill pack directly in the app.
ACLogics operates on a success-only deduction policy: tokens are only charged for successful workflow steps. Retried or failed steps cost 0 tokens.
If you believe a limit was applied in error, email team@aclogics.com with the account email and a screenshot of the message.
Can technicians use ACLogics without an internet connection?
Partially. An active connection is required to consult the AI, but recent history, saved records, and solutions stay available offline as long as the page is not refreshed.
Offline changes sync when the device reconnects. Until then, other team members will not see them.
Does ACLogics work for junior technicians?
Yes. It is built for newer technicians who already know basic field work and want to diagnose more consistently. It helps interpret symptoms, readings, and next checks.
It does not replace hands-on training, measurements, or repair judgment.
Data and access
Who can see what, and what happens when someone leaves.
What data is shared with my organization?
Work created while a technician is in the organization account may be available to the organization: diagnosis history, job details, notes, generated reports, usage records, and related activity.
Work created in a personal account is separate from organization history.
Can admins see a technician's personal data?
No. Admins see data tied to the organization account only. Diagnoses and reports a technician creates in their personal account are not visible to the organization.
Technicians should check which account is active before starting sensitive work.
If someone leaves the organization, what happens to their work?
Data created under the organization account stays with the organization after a member leaves or loses access. The member keeps their personal-account data.
Need to reassign their jobs? Email team@aclogics.com and specify one or more current members — we will transfer the departed member's organization jobs and records for you.
Support
Getting help, and what to include so we can act on it.
How do I contact support?
Email team@aclogics.com. Support is email-first, usually answered within 48 hours.
For seat-limit increases or plan questions specific to your shop, email chen@aclogics.com.
What should I include when reporting a billing problem?
Your ACLogics account email, the organization name, the renewal or purchase time, screenshots of any message, and whether the issue is with a team subscription or a personal one.
Do not send full payment card numbers.
Does your support team help with actual HVAC troubleshooting?
For Insight plan subscribers, yes — a direct line to HVAC experts for complex equipment diagnoses, via live chat during business hours (Central Time).
It works like having a senior lead technician available to your team.
